GENERAL DESCRIPTION OF DUTIES

Under general supervision, the purpose of the position is to sort, process, and distribute incoming and outgoing mail and to perform receptionist duties.  Employees in this classification perform clerical work. Position is responsible for processing mail; answering the telephone; greeting visitors; pick-up and delivery of mail to the US Postal Service and to the courier box; and performing a variety of clerical tasks such as stamping invoices with date received stamp, coding invoices, creating month end journal entries, maintaining funds on postage machine, etc.  Performs related work as required. Must possess a North Carolina driver license and must be approved by management to operate a county vehicle.

SPECIFIC DUTIES AND RESPONSIBILITIES

Processes incoming and outgoing mail; goes to the Post Office and picks up mail; sorts and distributes incoming mail; prepares outgoing mail for all County departments and delivers to Post Office.

Pick up and drop off courier mail.

Answers telephone, directs calls, delivers messages, greets visitors, answers questions and gives out information.

Picks up payments in drop box.

Collects fees or other money, issues receipts, and places money in vault at the end of each day.

Prepares journal entries and posts to general ledger.

Separates accounts payable checks from invoice and prepares for mailing.

Prepares and disburses finance reports.

Maintains organized mail/copier office; stocks copier and printer with paper; replenishes copier and printer toner; and arranges for service of central office equipment.

Maintains available postage dollars on postage machine and advises when additional funding is needed.

Stamps accounts payable invoices with received date and codes for payment.

Maintains Finance Department office supply room and advises when supplies are needed.

Provides basic accounting support to other Finance Department staff.

MINIMUM TRAINING AND EXPERIENCE

High school diploma or GED; supplemented by 5 to 11 months previous experience and/or training involving accounts payable, accounts receivable, or accounting work; or an equivalent combination of education, training, and experience.

Competency in Microsoft Office applications including Word, Excel, and Outlook.

SPECIAL REQUIREMENTS

Possession of a valid drivers’ license issued by the State of North Carolina.
