Public Information Assistant IV – (DSS)

GENERAL DESCRIPTION OF DUTIES
The purpose of this position is to provide clerical office support. Employees in this classification perform routine and moderately complex secretarial work. Position is responsible for processing a variety of reports, forms, and correspondence, meeting and greeting the public in the reception area and on the switchboard and picking up and delivering the mail. Employees perform related work as required.
SPECIFIC DUTIES AND RESPONSIBILITIES

Provide administrative assistance to Income Maintenance Programs.
Make records and scan paperwork into the computer.
Medicaid card maintenance for Permanency Planning.
Register recertification for Food and Nutrition Services.
Perform document checks by reading notes to verify the case status.
Collect mail for supervisors daily and distributes to workers and supervisors accordingly.
Coordinates agency activities in recognition of social services awareness events. Assist with organizing the event. Receives telephone calls from clients and takes messages.
MARGINAL FUNCTIONS
While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members.
Types letters, forms, and other documents and completed computer input forms.
Performs general filing. Using computers and accessories for data and input and retrieval.
Performs other duties as assigned.
MINIMUM TRAINING AND EXPERIENCE
Graduation from high school and demonstrated possession of knowledge, skills and abilities gained through at least two years of office assistant/secretarial experience; or an equivalent combination of training and experience.
SKILLS, KNOWLEDGE AND ABILITIES
Significant knowledge of program procedures, methods and practices.
Significant knowledge and ability to use correct grammar, vocabulary, spelling and program terminology to compose, proofread and edit correspondence, reports and other materials.
Ability to record, compile, summarize and perform basic analysis of narrative and numerical materials.
Ability to learn and independently apply laws, program rules and regulations.
Ability to learn programs and services and apply this knowledge in problem-solving and responding to most questions and inquiries. Ability to use judgment in establishing program procedures and organizing and coordinating workflow. Ability to apply correct sentences and grammatical structure to independently compose and format materials within established guidelines.
Ability to independently work with people with courtesy and tact in performing public contact and communication duties that may be sensitive in nature. Ability to gather and release pertinent program information.
SPECIAL REQUIREMENTS All employees should possess a valid North Carolina driver’s license. All employees may be requested to perform other duties as assigned. All employees may be required to assist county operations during a State of Emergency, disaster or other county event.
